Terms & Conditions:

Kindly read the following terms and conditions precisely before to go safari & tour with us, by making a reservation and participating in any of our tours, you acknowledge and agree to these terms and conditions below: 

Booking and Payment:  

To ensure the confirmation of your reservation, we kindly request a pre-deposit upon booking. We offer various payment methods for your convenience, including payment links, credit card, wire transfer or cash where applicable in Arusha city.  

We provide the option of spreading payments after final agreement: an initial deposit, 

  • – Deposit Payment due on Camping Safari bookings: 10% payment required. 
  • – Deposit Payment due on Lodges Safari bookings: 30% payment required.
  • – Deposit Payment due on Fly-in Safari bookings: 50% payment required. 
  • – Deposit Payment due on Last Minute bookings: 100% payment required. 

All our quotations are made in USD currency,  

Final Payments can be done on arrival day but in Arusha city only, where we pay for everything on tour operations. (Cash are accepted & preferred in USD series 2009-2019 without any damage).  

NOTE: all payments made should be to company accounts, which are all in Tanzania. We do not have any offshore Accounts.

it is common for us to receive separate payments for different Individuals within a group touring, together and accept payments from each (links will be sent to facilitate the payments), but communication of the relevant information should always take place via the group leader, who remains financially responsible for the whole trip. 

Payment and Invoices.  

All final payments & instalments required to be paid prior 5 day to your Tour start date, considering the processing time of 3-5 days required for funds to reflect in our bank account.  

This protocol serves to mitigate any potential issues arising from payment network failures, which have recently posed challenges and disruptions into our tour operations. 

When the merchant or representative has made the tour payment bank/wire transfer, please email a copy of the bank receipt to the Company. We will confirm receipt of the funds via email. 

All costs as a result of payment will be handled by the clients, such as surcharge 3.5% or 5% for credit card & online payments, wire transfer charges Currency.

Cancellations and Refunds: 

Cancellation by the participant: the following cancellation fees apply: 

  • 60 days more than, the safari/tour start date – 100% refund of entrance fees & operations. 
  • 50-40 days prior the safari/tour start date – 50% refund of entrance fees & operations. 
  • 30-20 days prior the safari/tour start date – 20% refund of entrance fees & operations. 
  • 15 days less than, the safari/tour start date – No-refund of entrance fees & operations. 
  • Note: Domestic flight tickets and hotel bookings are non-refundable and are not included in the refund calculation, along with surcharges and government VATs. 

Company-Initiated Cancellations:

In rare cases where we must cancel a tour due to unforeseen circumstances (e.g., extreme weather, political instability, minimum group size not met), you may choose to:

  • Receive a full refund, or
  • Reschedule to another date or safari of equal value.

NB: We are not responsible for refunding third-party travel expenses (e.g., international flights) unless booked directly through us.

No-Shows & Early Departures:

No refunds will be given for no-shows or for unused portions of the tour if you leave early for personal reasons.

Travel Insurance:  

We strongly recommend purchasing comprehensive travel insurance that covers trip cancellation, medical emergencies, personal belongings and unexpected changes in plans. It is the participant’s responsibility to obtain suitable insurance, to enjoy your African Safari trip or Kilimanjaro Trekking.

Health and Fitness:  

Our tours may involve physical activities and require a reasonable level of fitness. Participants should inform us of any medical conditions that may affect their ability to participate fully. 

Changes to Bookings:

Changes to booking dates, accommodations, or itineraries are subject to availability and may incur additional costs. Minor changes requested more than 30 days before departure may be free of charge; after that, a change fee may apply. 

While we make every effort to adhere to the planned itinerary, unforeseen circumstances may necessitate itinerary changes. We reserve the right to modify the itinerary to ensure the safety and comfort of all participants. 

Refund Processing Time:

Approved refunds will be processed within 14 business days of receiving your written request, back to the original method of payment.

Travel Documents:  

It is the participant’s responsibility to have valid passports, visas, and any other required travel documents. We are not liable for any issues arising from inadequate or incorrect documentation. 

Code of Conduct:  

Participants are expected to follow the instructions of our guides and behave responsibly throughout the tour.  Any participant found engaging in illegal activities or behaviour that compromises the safety and well-being of others may be asked to leave the tour with no refund. 

Liability:  

We take all necessary precautions to ensure your safety, participation in our tours involves inherent risks. While we do our best to ensure a smooth experience, certain matters remain beyond our control. such as any property damage, accidents, delays caused by government systems, or expenses caused by any factors beyond our control. 

Photography and Promotion:  

We may capture photographs and videos during our tours for promotional purposes. By participating in our tours, you grant us the right to use such media for marketing and advertising without any compensation. 

Data Protection:  

Any personal information provided to us will be treated in accordance with our privacy policy. 

Governing Law:  

By booking a tour with [Safari Tours Africa] you affirm that you have read, understood, and agreed to these terms and conditions.
